This is a sample knowledge base article for Inflowcare, a CRM for home care agencies.

Inflowcare offers an E-signature feature that allows applicants to sign application forms electronically. Application bundles typically include tax forms that are updated yearly.

In this article, I guide administrators in updating tax forms with step-by-step instructions, annotated screenshots, and interactive GIFs.

How to add new tax forms for 2024

In this step-by-step guide, you'll learn to update your application bundles to include the new tax forms for 2024.

What you'll learn in this guide

  1. Take inventory of your existing tax forms for 2023 that need updating.
  2. Use our template library to add tax forms for 2024.
  3. Complete any required template configuration.
  4. Test the new forms to ensure they have been set up correctly.
  5. Make the 2023 forms inactive so they no longer appear in new applications.

1. Inventory existing 2023 tax forms

Before you add new tax forms, inventory any existing tax documents for 2023 so you know which forms need updating and which forms to deactivate once the new versions have been added.

  1. From the main menu, click Settings and then Templates.
  2. In the search box, search for the desired tax form. For example, enter W4 - 2023 or IT-2104 - 2023.
  3. For each existing tax form, note the following details which you'll use for adding the new tax forms:

    • Template Name
    • Signer
    • Bundle
    • Type

    Templates need to be configured for each staff type.


2. Add the new tax form using the template library

2.1 Add the template from the template library

  1. From the main menu, click Settings and then Templates.
  2. Click the green Add Template button in the upper right-hand side and select From Library.
  3. Click the Use Template icon next to the desired form on the Template Library panel.

    Tip

    You can preview a form before adding it by clicking the Preview icon (eye) in the Actions column.


2.2 Configure the template signer and add to bundles

  1. Configure the following on the Add Template page using the information collected from the template inventory:

    • Staff Type - Select which staff type will complete the form.
    • Template Bundle - Include the form in a bundle or multiple bundles.
    • Signee - Select who will be signing the form.
  2. Click Save to add the template.

    You've added a new tax form that has yet to be published. To publish it and have it appear in application bundles, proceed to the next step: Configure the radio buttons and publish.


3. Configure the radio buttons and publish

  1. On the Templates list page, filter for unpublished templates by checking "Unpublished" and unchecking "Published" in the Status filter.

  2. In the Actions column of the updated tax form, click the Edit & Manage Fields icon.

  3. On the Version History page, click the Manage Fields & Edit button.

    In the next step, you'll map any radio buttons to their respective fields in the Inflowcare tab.

  4. Select the form signer under the Default Signer dropdown.

  5. Click on the first radio button.
  6. Under the Radio Value section on the panel on the right, click the change as dropdown icon.
  7. From the Select dropdown, choose the corresponding value to match the option on the form.
  8. Repeat this process for any additional radio buttons on the form.

    • Federal filing status

    • New York State filing status
    • "Are you a resident of New York City?"
    • "Are you a resident of Yonkers?"

  9. Click the blue Save & Publish on the upper right corner of the page.

  10. On the confirmation panel, click Yes to publish the new tax form.


4. Test the new tax form

  1. Verify that the form fields populate correctly after publishing a new tax form.
  2. Add the new form to a test profile and ensure that responses are correctly displayed.

5. Deactivate 2023 tax forms

Info

  • Deactivate a template to prevent it from being added to any new applications.
  • Deactivation does not impact any existing tax forms already added to an application.
  1. From the main menu, click Settings and then Templates to access the Templates list page.
  2. Use the Search field to find the 2023 tax form.
  3. Click the Mark as inactive icon in the Actions column.

  4. On the confirmation panel, Click Yes, Confirm.
